Job Summary
We are growing! With that, we are looking for an energetic individual to join our team and provide support to Fibrenew franchisees, which includes existing franchisees and new clients. Primary work will be with onboarding new franchisees and mapping territory franchise areas. Please note that this is not an HR position. It is rooted in customer support and will directly bolt on to our company-wide initiative to grow to 500 franchise locations in the next 5 years. 

Essential Functions

  • Working closely with clients in a positive, efficient and professional manner
  • Onboards all new franchisees, from pre-training through training, helping guide them through the initial steps to join Fibrenew. Coordination of incoming required material, coordinating completion of franchise agreements and receipt of wire transferred funds, and coaching new franchisees through onboarding process.
  • Supports the Contract Manager by collecting and communicating information for the Managers completion of the Contracts. 
  • Manages and maintains Fibrenew’s mapping software including: new maps, census updates, territory relocations/adjustments & reporting.
  • One on one zoom meetings with clients guiding them through building a territory and how to do market research
  • Manages self on project performance and output on self-directed tasks. 
  • Coordinates incoming information and responsible for sharing information with various departments including Accounting, Warehouse, Marketing, Development Team, Contract Manager and Executive Team. Information sharing is essential for other departments to effectively do their jobs. We work as a team.
  • Performs basic clerical duties, including answering own phone, maintaining franchisee records online/offline and filing, booking hotel reservations.
  • Accurately and thoroughly verifies and enters data. 
  • Work collaboratively with key stakeholders to efficiently onboard franchisees. Develop solution approaches.
  • Email correspondence should be reviewed and responded to within 3 days of receipt.
  • Phone correspondence should be reviewed and responded to within 24 hours.
  • Reports weekly update of job/performance activities to the President.

  • Developing and Building Relationships: Strong interpersonal, communication and organizational skills to build mutual trust, respect and coordinate work with various stakeholders.
  • Communication: Ability to effectively and respectfully deal with franchisees, vendors and colleagues is essential for this job. Must be able to handle incoming inquiries by zoom video calls, telephone, email or online. Must have the interpersonal skills to deal politely and effectively with a wide range of individuals. 
  • Team Work: 
    • Great team working skills and information sharing are required to work with other departments, such as accounting, warehouse, marketing, support members and the executive team.
    • Inform the executive team of any problems or issues that might arise. 
    • Inform the sales team of any issues or lack of responsiveness from their onboarding franchisee clients.
    • Provide support to team members as needed.
  • Organizing, planning and prioritizing work: Developing specific goals and plans to prioritize, organize and accomplish your work. Adaptable and flexible, as tasks and deadlines vary from day to day.
  • Making Decisions and Solving Problems: Analytical problem-solving skills, decision making and the ability to work under pressure of defined deadlines.
  • Provide Consultation and Advice to Others: Providing guidance and advice to existing and new or potential franchisees.
  • Interpreting the Meaning of Information for Others: Explaining what information means and how it can be used.
  • Ability to self-manage, work with minimal supervision and exercise time management.
  • Getting information: Receiving and obtaining information from relevant sources. Attention to detail is essential. Must have the skills and attention to detail to carry out clerical, computing, administrative and recordkeeping tasks efficiently and thoroughly. 
  • Documenting/Recording Information: Entering, recording, storing or maintaining information in written or electronic form. 

Working Conditions

  • Monday to Friday. 
  • Employee is expected to be able to read, write, comprehend and communicate effectively in the English language. 
  • Problem-solving, independent decision making, organizing and interpreting information required.
  • Work is performed indoors in an office environment. Sits or stands at a desk for long periods of time (standing desk may be provided for optional use). Post probation and training period may participate in a hybrid work model (part-time in the office location, part-time work from home).
  • Uses hands on a daily basis typing and must be able to spend long hours in front of a computer screen. 
  • Uses the phone and zoom video (for meetings) daily and must be comfortable speaking with new contacts. 
  • Occasionally climbs stairs to work with team members on 2nd floor. 
  • May need to lift boxes of paper or files (20lbs). 
  • There is some privacy at the office however interruptions may occur.

  • Takes responsibility for own actions, including the impact of own decisions on franchisees and others. Acts in a way that demonstrates deep personal integrity and serves as a positive example of why others should trust the organization. Views oneself as a reflection of the organization by following through on commitments and accepting ownership of any mistakes he or she or they might make.

Qualifications

  • Proven experience working in an office environment, 5 years minimum
  • Minimum high school diploma or recognized vocational qualification in office skills
  • Experience working with standard computer programs and general computer and internet savviness. 
  • Working knowledge of office equipment, e.g., computers, printers and web browsers
  • Proficiency in MS Office and Adobe

Special Requirements

  • You must be physically capable of performing the job and able to tolerate repetitive computer work.
  • Visual acuity, good hearing and speaking skills are needed.

On the job training provided

  • Will train directly with the Contract Manager learning the onboarding process. 
  • Will train directly with a member of our Development team learning the mapping process.
